Who this policy covers
This Privacy Policy explains how Smooth Control handles personal information when you visit the public website, request a demo, create an account, use the platform, contact support, or submit information through a secure client form.
Smooth Control is a B2B software platform for rental fleet management, reservation workflows, supplier partnerships, contracts, and operational coordination.
Data we collect
We collect only the information needed to operate the platform, respond to requests, and deliver the services organizations expect from Smooth Control.
- Account information such as name, email address, role, and profile details.
- Organization details such as company name, business contact information, branding, and connected integrations.
- Reservation and contract information entered by organizations, including client details, booking dates, vehicles, pricing, extras, signatures, and operational notes.
- Client-submitted information collected through secure form links, including identification, license details, contact data, signatures, and extra-related fields configured by the organization.
- Supplier account and reservation request information where supplier portal features are used.
- Support, contact, and demo request messages sent through the website or platform.
- Technical information such as device, browser, IP-related request data, and audit/security event logs.
- When a client signs a contract digitally, signing evidence such as the server-recorded time, request IP address, signature and contract-content hashes, an immutable copy of the signed PDF, and later amendment history.
How we use personal data
We use personal data to operate the platform, deliver requested features, secure accounts, support organizations, and comply with legal obligations.
- Provide reservation, contract, fleet, supplier, finance, and communication workflows.
- Send secure links, contract PDFs, operational notifications, and service emails.
- Maintain audit trails, permissions, fraud prevention, and system security.
- Preserve evidence of the contract terms accepted at signing and distinguish later amendments from the original signed record.
- Provide customer support and respond to demo or contact requests.
- Comply with legal, accounting, tax, and regulatory obligations where applicable.
- Improve reliability, performance, and product usability.
Controller and processor roles
When an organization uses Smooth Control to manage reservations, contracts, fleet operations, and client information, that organization usually acts as the data controller for its operational data.
Smooth Control generally acts as a service provider or processor on behalf of the organization for that operational data, except where Smooth Control independently processes information for account administration, billing, support, security, legal compliance, or platform improvement.
Legal bases
Depending on the situation, Smooth Control and the organizations using it may rely on one or more legal bases, including performance of a contract, legitimate interests, legal obligations, and consent where consent is required.
Sharing and subprocessors
We do not sell personal data. We may share data with service providers and integrations only where needed to operate the platform or complete requested workflows.
- Hosting, database, storage, and infrastructure providers.
- Email and messaging delivery providers used to send service communications and contract documents.
- Connected third-party services such as invoicing or operational integrations when enabled by an organization.
- Professional advisers, legal authorities, or regulators where required by law or necessary to protect rights, safety, or the platform.
Retention
We keep data only for as long as needed for operational use, legal compliance, security, dispute handling, and legitimate business purposes.
Organizations can configure certain privacy retention settings inside the platform. Some data may remain longer where accounting, contractual, or legal recordkeeping obligations apply.
Security and access controls
Smooth Control applies role-based access, audit logging, organization isolation, secure-link flows, and other technical and organizational measures designed to protect personal data.
No system can promise absolute security, but we work to reduce risk, limit exposure, and improve protections over time.
International transfers
Where service providers or infrastructure process data outside your country, we take reasonable steps to use appropriate safeguards and contractual protections where required.
Your rights
Depending on your location and the role in which data is being processed, you may have rights to access, correct, export, restrict, object to, or delete personal data, and to withdraw consent where consent was used.
If your information is part of an organization’s reservation or contract workflow, requests may need to be handled together with that organization as the relevant controller.
